A good email launch starts with questions. The more answers you have before connecting, the fewer surprises after the domain switch.
This checklist helps you quickly understand whether the company is ready to launch or whether you first need to collect access, addresses, and rules.
Preparation
Five zones to check before launch
- 01Domain
- 02Users
- 03Data
- 04Security
- Without a project owner, decisions drag on
- Shared mailboxes are the most often forgotten
- Instructions are needed before the first sign-in
Domain and DNS
Who owns the domain? Where is the DNS panel? Is there access to change MX, TXT, and CNAME? Who can quickly confirm the changes?
If the answers are unclear, it is better not to start the launch. The domain is the foundation of the email project.
- where the DNS panel is
- who changes the records
- whether there is domain access
- which services already send mail
Users and addresses
You need a list of employees, departments, shared mailboxes, aliases, and groups. Separately, note the addresses printed on the website, in contracts, and in proposals.
Such addresses must not be lost, even if they are rarely used.
Security and access
Before launch, decide which passwords are acceptable, whether two-factor protection is needed, who can reset access, and how former employees are offboarded.
It is better to write these rules in plain language so the administrator does not have to make the same decision from scratch each time.
Migration and support
Decide in advance whether you are moving old mail, who needs the full archive, who checks the result, and where employees turn in the first days.
Without support, even a technically successful launch is perceived as chaos.
Quick checklist
- Find DNS access
- Gather the addresses
- Assign a project owner
- Describe the security rules
- Prepare a support channel
